WHO MAY APPLY:  This recruitment is open to all qualified candidates and may be used to fill current and future full-time, part-time career service and term-limited temporary positions in the Election Department. The most competitive candidates will receive first consideration the week of April 13, 2015.
 
WORK SCHEDULE:  These positions are subject to the provisions of the Fair Labor Standards Act and are overtime eligible. The workweek is typically 35 hours per week, 8:30 a.m. to 4:30 p.m., Monday through Friday, or other schedule as assigned. Mandatory overtime (including weekends or evenings) will be required during elections and other peak work periods.
 
UNION MEMBERSHIP: This position is represented by Teamsters Local 117, Administrative Support. Union membership is required within 30 days of employment.

Job Duties

This position supports the Voter Services and Registration Division.  In this position you will provide and/or acquire authoritative program-specific information relating to assigned specialized or technical clerical support services that require interpreting established policies, procedures, codes, regulations and other relevant sources, to internal and/or external customers over the telephone, in writing and/or in person. Employees may deal with sensitive and/or potentially volatile situations. This work is performed in a high volume fast paced working environment while still maintaining accuracy and high quality data entry.

Specific assignments vary by position and may include voter registration and direct customer services. 

Duties may include:
 
·         Provide excellent customer service to internal and external customers by processing voter registrations, communicating election program information and explaining election procedures, guidelines and regulations.
·         Work effectively both independently and as a team member to complete assignments.
·         Perform production-level computer work which includes accurate data entry, retrieving and editing records.
·         Organize, coordinate work activities and provide training to diverse work groups.
·         Set up records and file documents in both electronic and paper formats.
·         Review documents for proper format, accuracy, completion, eligibility, and other legal guidelines.
·         Audit work group activities to ensure performance quality and efficiency of work.
·         Develop spreadsheets, word documents and reports to track and document performance data.
·         Interpret established policies, procedures, and regulations to employees and customers.
·         Research and resolve questions, problems, or inquiries from staff, citizens and/or stakeholders.
·         Improve work processes, quality control, and document processes, procedures and work instructions.

 Competitive Candidates must have;

 

  • Experience providing excellent interpersonal and customer service skills with the ability to deal courteously, professionally and tactfully with both customers and other employees in a diverse work environment.
  • Two years' experience in elections and/or providing administrative support in a high volume seasonal office environment.
  • Strong attention to detail and accuracy.
  • Previous high volume experience entering data into a production application with speed and accuracy.  Speed and accuracy (will be tested).
  • Professional level verbal and written communication skills.
  • Ability to prioritize multiple tasks and complete work assignments within established deadlines.
  • Demonstrated skill in using Microsoft office software, in a Windows based PC environment.
  • Experience handling sensitive issues while maintaining security and confidentiality.
  • Ability to work effectively both independently and as a team member to complete assignments. 
  • Training experience including presentation skills, experience providing direction and delegating work assignments to other employees
  • Equivalent combination of experience and education which provides the applicant with the skills, knowledge and abilities required to perform the work.

 Desirable

 

One or more years' experience in the following technology systems: DIMS, EIMS, Washington State Voter Registration Database (VRDB).  Experience working with the Office of Secretary of State utilizing on-line elections related tools and information.

 

Experience as a customer service representative in a call center, phone bank, and/or in person.
