Job Opportunity: This position is appointed by and reports to the Deputy Director.  This position requires a high level of discretion in sensitive confidential issues and communications.  It is equivalent to a private sector executive secretary. The selected candidate will have authority to independently perform administrative support and secretarial duties for the Deputy Director and other senior leaders in the department.  The most competitive candidates will have demonstrated competency in executive level administrative support in a fast, complex, highly scrutinized, public sector organization.

Work Schedule:  This position is nonexempt (overtime eligible) and will receive overtime with supervisory pre-approval.  This typical work week is Monday through Friday, 8:00 a.m. to 5:00 p.m.  Mandatory overtime may be required during election cycles.

Job Duties

We are looking to add a detail-oriented, organized, dedicated person who will:

Take initiative to complete necessary tasks and improvements, meet deadlines, and produce timely, high-quality work product.

Work in a high-pressure environment where there are multiple administrative tasks requiring a high degree of accuracy with precise scheduling needs and short deadlines.

Drive effective teamwork, communication, collaboration, and commitment across multiple groups and projects, often with competing priorities.

Exercise discretion, patience, professionalism, etiquette in all interpersonal dealings and sound professional judgment in maintaining the confidentiality of sensitive data.

Read situations quickly and resolve conflict through focused listening and the identification of common ground.

Professionally prepare, format, proofread, and/or edit a variety of materials to be reviewed, approved or signed by the Deputy Director, including briefing documents, correspondence, meeting agendas, spreadsheets, PowerPoint presentations, etc.  

Maintain the schedule for the Deputy Director including calendar management, document preparation, and prioritization.  Coordinate arrangements and activities that require extensive contacts within and outside the Department.  Set scheduling priorities and resolve appointment conflicts on an ever-changing calendar.

Independently receive and resolve internal issues and questions referred to the Department Director’s Office within an assigned scope of authority, keeping the Director and Deputy Director informed.

Answer the Deputy Director’s incoming telephone calls, including the Director’s calls when requested.  Respond to questions, take messages, screen, and route or refer callers as appropriate.

Experience, Qualifications, Knowledge, Skills

You are prepared to take on this role if you have the following experience:

Proficient use of Word, Excel, PowerPoint, Adobe Acrobat, Visio, and other software programs used in the performance of required work.

Three or more years’ recent experience in secretarial role that includes primary administrative support to a senior leader.

Strong oral and written communication skills, including understanding and executing complex verbal and written instructions.

Ability to update and revise documents ensuring proper grammar, punctuation, and diplomacy in both correspondence and reports.

Excellent organizational skills for maintaining computerized and manual record-keeping systems.

Acting as a liaison to provide direction, instructions and assignments and following up on the status of the assignments.

Demonstrated ability to work cooperatively with discretion, patience, professionalism, courtesy and tact with all levels of staff, private sector officials, elected officials and the public.

Proven ability to prioritize workload, work efficiently and calmly under pressure with tight turn-around times and ever-changing priorities; manage and track multiple assignments, and meet deadlines.
